The basics:
Imagine yourself sitting down on the table and expressing your thoughts,
feelings or concern on paper! The idea itself is so fulfilling. Truly, the charm
of writing a letter can never vanish. Though, we are living in an age where our
reliance on electronic forms of communication has increased manifold resulting
into less occurrences of letter writing. For some of the modern kids and
youngsters, writing a letter will be almost like an ancient ritual yet to people
of older generations, letter writing is still the best mode of expression.
Writing a letter serves several purposes right from, showing care and respect to
love and providing that much needed personal touch. Whether you are finalizing a
business deal or paying your respect to family members or sending just a quick
note to an old friend, using letter for these purposes can be very effective.
Letter writing is an art that has evolved over the years. Compared to earlier
times, letter writing, now a day is more conversational and less formal. Modern
way of letter writing is much more interactive. The popularity of emails
definitely has an effect over the way we write letters. The formal tone has
given way to conversational style of writing. Letter writing requires effort and
patience but the rewards are equally sweet.
As mentioned above, letter writing is an art that requires one to focus upon the
minute details. There are certain steps while you write a letter. Following all
the steps appropriately will make your letter appear very impressive and it will
also serve its desired purpose. While you begin to write a letter, first think
of the context of the letter. Providing the context at the beginning of the
letter will make receiver of the letter aware of rest of the subject matter.
However, it actually differs, depending upon who are you writing to. Writing to
a friend will have completely different framework than writing a formal business
proposal.
The opening of the letter should begin with a proper greeting. Depending upon
who you are writing to, the greeting can vary from ‘dear’ to ‘respected’.
Remember, opening lines must begin at the left side of the page. Once you are
done with the greetings, you can begin writing opening paragraph that should be
tailored according to the recipient. If it’s a business letter, one should
directly state the purpose of the letter.
As you move further, body of the letter comes into the picture. One basic
requirement of any letter is that it should be engaging. There is no point
rambling because it does not interest the recipient. A formal letter will
definitely have small body whereas a personal letter can have many pages. The
body of the letter will be followed by closing paragraph that will indicate the
kind of response you are seeking.
The last step will be of closing the letter with appropriate words. From
‘Sincerely Yours’, ‘Love’ to ‘Regards’ and many more, there is no dearth
of suitable closing words. Once you are done with closing, now you are
all set to put the letter in the envelope and here goes your perfectly
written letter.
