William James, the famous American psychologist and philosopher had once said, “The deepest craving of human nature is the need to be appreciated”. This statement holds so much of truth in it even in modern era. A word or gesture of appreciation goes a long way in establishing the tie between two persons or even two organizations. Words of appreciation are very powerful as they can break down many invisible barriers and open up innumerable avenues of communication. And while you are willing to express your appreciation what better way than the traditional medium of letters?

Appreciation letters are appropriate for several occasions including personal as well as business spheres. If we talk in terms of corporate world, a letter of appreciation to the employees, colleagues, subordinates or business associates can do wonders to the morale. Though we are living in an age of rapid telecommunications yet the charm of appreciation letter is eternal and hence, these letters are highly valued. It ensures cementing of relationships and promotes mutual trust.

People, who care for us, often perform little acts of kindness for which we duly need to appreciate them. But the life has become so busy that we are unable to create some time to properly thank all those who matters. Letter of appreciation come very handy during those situations. It is a wonderful way to express our gratitude to friends, family members or business associates. Letter of appreciation can be written on a number of occasions like, appreciating someone for his hospitality, thanking to the teacher, appreciating a business acquaintance for the business deal etc. There is no dearth of right occasions.

One should keep in mind certain rules while writing a letter of appreciation. For example, one should always be sincere while express his gratitude. Don’t go over the top. People can easily identify when you are not being honest in your appreciation. While you decide to write the letter of appreciation, always explain why are expressing your thanks because that’s what the main point of writing the letter. Letter of appreciation looks wonderful if it’s written in a direct and concise way. The letter should always be addressed to a specific person.

If the letter of appreciation is meant for personal use, it’s better to use handwritten notes whereas in case of a business appreciation letter, one should use company letterhead and sharp printing. Letter should be sent promptly and it shouldn’t be delayed. Additionally, one can also send a greeting card along with appreciation letter.

One should send a letter of appreciation only when the deed has been done. Thanking in advance is presumptuous and should be avoided. It pays to keep appreciation letter brief and specific. Always make sure to proof read and spell check the letter to ensure that the letter is free of errors. One can also ask a trusted friend or colleague to review the letter. Finally, remember people always respond positively to kind words of appreciation. .
