It is a common practice to seek letters of recommendation for employment and
education situations. Before penning down the letter of recommendation, one
should find out the reason behind it. The reasons could vary from applying a
job, personal reference or a background check or an academic position. Once you
are aware of the purpose you can focus on how and what to write in the letter of
recommendation. Make sure, you are being honest and sincere while writing the
letter. You must know the person adequately before you begin writing a letter of
recommendation for him. If you are in possession of job description or
specifications then you will have better idea of the position in question.
If you know the person well then your task is that much easier. But in case, you
are not really aware of the person it’s better to get your hands on his resume
or qualifications. You can also talk to the person to know more about him and
his requirements. Always try to use your own impression about the candidate
instead of just repeating what his resume says.
In case you are aware of whom the letter is addressed to, so well so good else
play safe by using ‘To whomsoever it may concern’. Make sure not to make any
mistakes in spelling the name and designation of the person. A letter of
recommendation should always begin with the appropriate salutation. Some of the
essential ingredients of a letter of recommendation are; brief information about
how you know the person you are recommending, your own job designation and
qualification, person’s qualification and achievements along with his abilities.
While finishing the letter, try to include an invitation for further
correspondence if necessary. Below given is a sample format of letter of
recommendation.

Dear Mr. /Ms. Full Name, or
To Whom It May Concern:
Sam Bollinger has been working with Trans-Atlantic Co. for the past 4 years. As
his immediate supervisor, I have found Sam to be a meticulous worker who has
worked under my supervision from May of 2004 to October of 2008 as Assistant
Sales Manager. His talent and commitment resulted in him being promoted to the
position of an Assistant Sales Manager from Sales Officer.
Sam would be a great asset to any company and I must confess he is one of the
brightest employees that I have ever had. Sam has demonstrated competence as a
Manager by increasing sales revenue of his territory manifold in last few years.
The customers as well as dealers have expressed their satisfaction with respect
to Sam’s performance and services offered by him.
Sam's drive has led him to great success at Trans-Atlantic Co. He has had the
honour of receiving the "Top Sales Person of the Month Award" six times last
year alone. His willingness to conform to ethical practices and place the needs
of the clients above his own needs, has made Sam an asset to Trans-Atlantic Co.
I believe that Sam Bollinger will be an excellent fit for your company and as
his immediate supervisor, I recommend him for the job at 3M.
